Preparing a Meeting Agenda


An agenda is a written list of items to be discussed at a meeting. The items appear in the order in which they will be discussed and may or may not have a time for discussion next to each item.

The proposed agenda should be made public prior to the meeting:
  • Announce it in the school newsletter
  • Post it on the PTO webpage
  • Post it on the PTO bulletin board
  • Distribute printed copies to the parents in the student backpacks
Distribute copies of the proposed agenda at the start of the meeting. The proposed agenda is typically prepared by the PTO president, but it only becomes binding if it's adopted by a majority vote of the PTO membership.

At the onset of the meeting, the agenda is presented for adoption. At that time, any member can make a motion to adopt it or amend it.
